How Can Users with Viewer Role Access All Shared Reports in Helical Insight

Hello Team,

When a user is assigned the ROLE_VIEWER role in Helical Insight, they are unable to browse shared folders or view the complete list of reports shared with them.

Although multiple reports and their corresponding data sources have been shared with the user, only a limited number of recently accessed reports are displayed on the home page. The File Browser and folder navigation options are also unavailable.

How can users with the ROLE_VIEWER role access all the reports shared with them? Is there a way to display all shared reports as a list within the application?

Hello Snow,

In Helical Insight, the ROLE_VIEWER role is designed with execute-only permissions. Users assigned this role can view reports and dashboards through their respective direct URLs but cannot browse folders or navigate through the File Browser.

The following are the limitations of the ROLE_VIEWER role:

  • Users cannot access the File Browser or browse shared folders.
  • Users cannot view the complete list of shared reports through folder navigation.
  • Users cannot perform right-click operations such as Open or Open in New Window.
  • Users can execute and view reports or dashboards using their direct URLs.

Why are only a few reports displayed on the home page?

The Recent Reports section on the home page displays a limited number of recently accessed reports. It does not represent the complete list of reports shared with the user. Therefore, even if multiple reports are shared, only a limited number may appear in this section.

How to provide access to all shared reports?

There are two possible approaches:

  1. Continue using ROLE_VIEWER: Share the direct URLs of all required reports and dashboards with the users. They can access and view the reports through these URLs.

  2. Use ROLE_USER: If users need to browse shared folders, navigate through the File Browser, view report listings, and open reports directly from the application, assign them the ROLE_USER role instead.
